Executive Assistant for the Deputy Director of Conservation and Collections (Classified; Exempt)

The Virginia Museum of Fine Arts seeks an experienced, talented, and energetic candidate to fill the position of Executive Assistant for the Deputy Director of Conservation and Collections.

The Executive Assistant for the Deputy Director of Conservation and Collections provides essential support to the Deputy Director for Conservation and Collections and the wider division as needed. The Executive Assistant ensures that all projects and relationships with both internal and external stakeholders receive timely responses and follow up. The role provides project management support and coordination for special projects that support the Conservation, Registration, Imaging Resources and Library and Archive departments. This role will work closely with the Division Head and stakeholders in all apsects of budget, procurement process as well as manages the daily calendar and correspondences of the Division Head. The position helps develop board and team meeting materials and presentations; provides research assistance and manages domestic and international travel. This role works closely with Division Head to identify and implement team building initiatives across a diverse division. This position requires the ability to proactively perform in a high-volume, fast paced work environment with minimal supervision and a high degree of confidentiality, discretion, diplomacy and professionalism. This position requires the ability to work a flexible schedule on occasion to include day, evening and weekend hours.

Minimum Qualifications:

  • Advance skill in the use of Microsoft office suite (Word, Excel, PowerPoint), Google Suite and other technologies.
  • Demonstrated ability to effectively and accurately handle multiple tasks in a professional office environment.
  • Proven project management experience.

Preferred Qualifications:

  • Graduation from an accredited college or university with a Bachelor’s Degree.
  • Previous experience with Museum or Gallery administration or a knowledge or strong interest in museum practices in Collections, Conservation, Exhibitions or Curatorial.
  • 3-5 years of prior experience in a similar role.
