Job Duties

The Virginia Museum of Fine Arts (VMFA) is seeking a qualified individual to fill the role of Archivist/Records Manager in the department of Library and Special Collections in the Art and Education Division.

The Archivist/Records Manager is responsible for the accessioning of incoming and existing archival collections, including creating inventories, managing location information, and providing access to materials. Institutional records management is also a key function of this role. This comprises management of the retention and disposition of state records in compliance with state records management protocols in consultation with colleagues at the Library of Virginia. The Archivist/Records manager responds to internal requests for assistance, transfer and access to institutional records.

The Archivist/Records Manager responsible for the arrangement and description of collections at varying levels (collection, file, item, etc.) in accordance with the museum’s metadata and description standards. The person in this position follows VMFA’s handling protocols to ensure preservation of the collections and assists with research and exhibition requests involving archival material and collections.

The Archivist/Records manager works collaboratively with the photo archivist to process manuscript collections containing photographic material.

Minimum Qualifications

Demonstrated experience in organizing and cataloging archival collections in a library or archives environment, or equivalent records management experience

Proficient in Microsoft Office applications.

Strong organizational and communication skills.

Ability to work independently and prioritize tasks with little onsite supervision.

Additional Considerations

ALA accredited master’s degree in library and information science, or equivalent education and/or training.

Knowledge of professional archival standards, principles, concepts, and practice, and understanding of and ability to apply descriptive metadata standards (DACS, EAD, AAT, etc.).

Experience with ArchivesSpace or other archival collections management systems.

Experience in VA state records management.
