The Virginia Museum of Fine Arts (VMFA) is currently seeking applicants for the position of Editor in our Department of Exhibition Planning and Publications. Reporting to the Director of Exhibition Planning and Publications, the Editor is responsible for managing the publication of high-quality scholarly exhibition and collection catalogues, gallery didactics, and collateral through all phases of production to ensure correctness through research, editing, and proofreading. The Editor will collaborate with authors to plan and edit manuscripts; oversee the assignment of ISBN and CIP data, permissions, grants and copyrights as required for all applicable publications; coordinate with distributing or co-publishing partners as appropriate; and work with the department director to identify and pursue new partnerships and grant opportunities for museum publications. The Editor will work collaboratively to update and manage the style guide for all collection and exhibition content museum-wide, and will contribute to the long-range strategic planning for the department as VMFA undertakes a transformative expansion and renovation project. The position supervises up to two direct reports, as well as oversees the work of contract-based editorial support for exhibition projects as determined.

High attention to detail with a focus on content accuracy. Demonstrated experience applying The Chicago Manual of Style. Excellent verbal and written communication skills. Considerable skill in Microsoft Office applications, and knowledge of production methods for printed and electronic media.

Additional Considerations

Advanced editorial skills including substantive editing, copyediting, and proofreading of exhibition catalogues, museum didactics, and other scholarly materials related to the interpretation of art and art history, with substantial work experience in a museum setting. Education, training and/or experience typically obtained through an advanced degree in English, Journalism, Fine Arts, Art History, or a related field.

Temporary Assistant Art Handler for Security Project (Classified; Non-exempt)

The VMFA seeks talented positive candidates to join its growing team of Art Handlers who provide critical support to the acquisition, preservation, and presentation of all art in the care, custody and control of the Virginia Museum of Fine Arts. Art Handlers ensure the safety of works of art in the care of the Virginia Museum of Fine Arts during movement, installation and storage. This position works under the direction of the Senior Art Handler of Exhibitions and Special Projects.

The Virginia Museum of Fine Arts (VMFA) is a state-supported, privately endowed educational institution created for the benefit of the citizens of the Commonwealth of Virginia. Its purpose is to collect, preserve, exhibit, and interpret art, to encourage the study of the arts, and thus to enrich the lives of all. Essential duties include, but are not limited to:

Minimum Qualifications

Significant knowledge of conservation-appropriate handling, packing and storage practices, art installation methods, and design and engineering techniques related to the preservation, exhibition, and transportation of art objects.

Working knowledge and some application of collections management practices; conservation principles, techniques, and materials; security-related practices and procedures; and some knowledge of art history.

Proficiency in the use of databases, project management software, spreadsheets, and word processing.

Ability to fabricate appropriate housing for artwork, and skill in the operation of hand and power fabrication tools and other material handling equipment.

Experience with lifts and other material handling equipment.

Assistant Conservator of Paintings, NEH Fellowship

The Virginia Museum of Fine Arts (VMFA) is pleased to announce a one-year NEH Fellowship, Assistant Conservator of Paintings position in the Wayne and Nancy Chasen Family Paintings Conservation Studio in Honor of Stephen Bonadies in the Susan and David Goode Center for Advanced Study in Art Conservation. The Goode Center is a vibrant research, treatment, and training center dedicated to advancing the field of conservation, art history, and science through joint study with conservators, curators, scholars, and scientists. Opened in 2010, the Goode Center is one of the largest conservation facilities in the southeast and is outfitted with advanced analytical and examination capabilities including hyperspectral and infrared imaging, scanning and portable x-ray fluorescence, FT-IR and FT-Raman spectroscopy, microfade testing, and computed x-radiography.

Position Description: This Fellowship is generously funded through VMFA’s Preservation Training Initiative grant from the National Endowment of Humanities Preservation and Access Education and Training program. Working collaboratively with other departments across the museum, the NEH Fellow will have the opportunity to expand their professional skills as a Conservator and will be involved in all operations related to the examination, documentation, treatment, display, technical analysis, and conservation research of paintings in the permanent collection.  The Fellow will employ the highest conservation standards and ethics in order to preserve the integrity as well as the aesthetic and historic significance of each work.  Working in collaboration with other conservation specialists as needed, the Fellow will provide guidance on the maintenance and preventive care of the collection, including environmental control, storage, packing, handling, and requirements for exhibition and loan.

The Fellow will be expected to undertake an in-depth, multifaceted research project that results in either a publication or presentation at a professional conference.  There will also be public engagement and educational responsibilities such as leading laboratory tours, speaking to visiting groups, responding to public inquiries, and presenting conservation projects and activities to museum visitors.

Minimum Qualifications

Graduate level degree in art conservation specializing in paintings from a recognized conservation training program or the equivalent combination of experience, training, and education. The successful candidate will also have:

-Knowledge of currently acceptable conservation methods for treatment of a wide variety of paintings.

-Knowledge of art history and historic methods of fabrication of a wide range of American, European, and contemporary paintings.

-Demonstrated ability to perform historic and materials research.

-Demonstrated ability to perform condition assessments, develop conservation treatment proposals, and execute treatments to a high degree of competency and efficiency.

-Demonstrated ability to convey information in a clear, succinct, and accurate manner.

-Demonstrated ability to perform analytical and examination techniques frequently used in conservation and experience in interpreting test results.

-Demonstrated ability to work well both independently and in concert with others, and to be professional, diplomatic, and discreet.

-Experience with common computer software programs.

The Virginia Museum of Fine Arts invites applications for the position of Sydney and Frances Lewis Family Curator of Decorative Arts, 1890 to the Present. This is a senior-level position at one of the world’s finest museums. We seek an accomplished curator with an international reputation in the field of Decorative Arts to advance the curatorial vision for a collection of more than 2,700 works of art, including the finest holdings of Art Nouveau and Art Deco outside of France. Candidates will apply their significant experience working at an art museum as well as their proven record of successfully developing and implementing major exhibitions and permanent collection installations, as well as a history of publishing accompanying catalogues and new scholarship. The successful candidate will work through their own established international network of relationships in the art world, including museums and galleries to achieve curatorial goals while managing a substantial acquisitions budget.

Minimum Qualifications

Significant experience in curatorial work focusing on Decorative Arts with a distinguished track record in acquisitions, exhibitions, scholarly publications, public speaking, and research. Strong knowledge of best practices of collection stewardship. Strong organizational and interpersonal skills. Ability to multi-task. Excellent writing, communication and public speaking skills. Excellent communication and organizational skills are required and the ability to work in a highly collaborative, team-based environment is essential.

Annual Giving Officer (Full-time, Exempt)

The Virginia Museum of Fine Arts Foundation seeks a detail-oriented and collaborative individual who excels in customer service for the role of Annual Giving Officer. This position is responsible for overseeing the annual unrestricted giving program, specifically annual fund campaigns, and Foundation level memberships. This is an exciting opportunity to contribute meaningfully to the museum’s mission to share great art as part of a dynamic and supportive team.

Responsibilities include the following as well as other related duties:

  • Play a key role in developing an annual plan for sustainable growth in Foundation-level membership ($300+) at VMFA
    • Serve as a first point of contact for all inquiries pertaining to Circle level membership benefits and gifts, annual fund giving, and employee giving
    • Manage both the membership renewal process and gift acknowledgment processes
    • Draft and send e-mailed membership renewal messages for foundation level members
    • Develop strategies for increased donor engagement and sustainable membership growth
    • Support the Director of Membership in executing upgrade campaigns in the general levels ($175 and below) to increase revenue in VMFA Circle Levels ($175 to $600)
  • Manage two Annual Fund campaigns annually
    • Devise and implement a direct mail strategy. Draft copy, obtain necessary stakeholder approvals, order supplies, request lists, and coordinate with the mail house.
    • Initiate targeted mailings for particular groups of donors
    • Spearhead digital strategy working with the Marketing and Communications team on email, social media, and Giving Tuesday components
    • Play a key role in producing the Director’s holiday video
    • Analyze and report campaign results
  • Engage with donors regularly (written communications, email, telephone, in-person meetings) with words of thanks, program invitations, and to encourage them towards further investment in the museum.

Minimum Qualifications

  • Previous development experience in one or more of the following: annual campaigns, annual giving, membership programs, corporate annual giving, direct marketing and data analysis.
  • Exceptional abilities in written communication, specifically persuasive writing

This is a non-exempt, part-time position without benefits, eligible to work up to approximately 28 hours per week on average and up to 1,450 hours annually (May 1 – April 30).

About the Work:

The work is straightforward, working together to maintain exceptionally high standards of quality in food production and presentation for VMFA venues.

Here is how the Kitchen Supervisor accomplishes this as part of a team:

Along with Amuse Executive Chef and Enterprise culinary team, assures smooth back of house kitchen operations and quality food production for VMFA kitchens. This role helps support management by offering supervision when kitchen manager and chefs might not be available or are occupied with other projects or tasks. Demonstrates professionalism and best practices in food service operations by performing the following duties:

• Directs and assists all other kitchen prep cooks to ensure that standards are met and efficiencies are in place; ensures that quality and consistency are upheld
• Works with kitchen management to ensure that expectations are well-communicated and that timelines are clear
• Performance issues as well as employee feedback are brought to management’s attention in a timely manner; safety and food issues are reviewed and communicated to ensure a safe and healthy workplace
• Completes all necessary safety training and certifications, as deemed by the museum, Department of Health and Safety and ServSafe guidelines.
• Assists management in the training, scheduling, evaluating, coaching, motivating, and overall performance management of all employees under their supervision.
• Understands, operates and trains others in the use of kitchen equipment and protocols
• Helps interface with front of house staff, as necessary, to assure consistent quality of product and service; attends departmental meetings as necessary
• Helps in daily production of food, working with kitchen manager and chefs, to determine frequency of change and menus.
• Ensures that prep cooks have the necessary projects, tools and instructions to work without issues
• Assists culinary team with special projects as assigned by Interim Senior Director of Restaurants & Events or museum; works as needed in an events capacity

Minimum Qualifications

• Ability to read and comprehend instructions and equipment inventories
• Inventory experience, understands and operates all machines used.
• Knowledgeable with safety protocols and cleaning techniques.
• Must be able to meet the physical demands of the position which include frequent standing and walking up to 10 hours a day; use hands to handle dishes and equipment; reach with hands and arms; climb or balance; and stoop, kneel, crouch, or crawl, lifting and/or moving up to 50 pounds, with or without reasonable accommodation.
• Ability to communicate in an appropriate professional manner with customers and other employees
• Ability to receive and follow scheduling via computerized software
• Ability to attend work as scheduled, working various schedules and shifts throughout normal business hours

Additional Considerations

• Prior food service, High School or GED, prior supervisory experience;
• ServSafe certification or equivalent preferred

Our Special Conservators of the Peace are responsible for assisting in the overall safety and security of the Virginia Museum of Fine Arts, employees, and its patrons while on duty. This is a crucial role to the Museum and requires following proper safety and security procedures. As our Security Operations is open 24/7, 365 days a year, we expect this role to be flexible in working mornings, evenings, weekends, and holidays.

Special Conservators of the Peace (SCOP) ensure that the museum is a safe environment for a variety of art related events and exhibitions by patrolling the museum property and grounds, enforcing rules and regulations, assisting visitors and employees, reporting potential hazards and suspicious activities, and responding to emergency situations. Officers also assist with investigations, secure evidence, and complete logs and other records.

As a Special Conservator of the Peace, officers carry weapons and exercise general police powers as appropriate.

Minimum Qualifications:

Director of Foundation Finance and Accounting (Salaried, Exempt)

The Virginia Museum of Fine Arts Foundation is seeking a highly skilled executive to serve as Director of Foundation Finance and Accounting. The Director of Foundation Finance and Accounting will have ownership for the integrity, accuracy, and informational quality of overall finance functions and in compliance with Generally Accepted Accounting Procedures (GAAP) and the Internal Revenue Service (IRS). Areas of coverage for this position include Statements of Activities and Financial Position (Gifts, A/P, payroll, debt, and Fixed Assets), Cash Flows and all other regulatory requirements of the legal entity.

Responsibilities include all fiscal period close processes, financial reporting, financial systems maintenance, internal controls and regulatory compliance procedures, tax reporting, and integration of any state initiatives. This position is also responsible for all accounting, reporting, and due diligence work on the endowment pool. Furthermore, the position will also lead activities supporting budgeting/forecasting and variance analyses. The highly skilled executive is expected to manage the accounting department towards efficient and value-added processes, and interact effectively with all levels of the organization within the Foundation as well as the broader Virginia Museum of Fine Arts. This position will be supervising VMFA’s Accounting Manager and Staff Accountant.

Duties & Responsibilities: 

• Monthly, Quarterly, and Year End Closing and Financial Reporting.
• Responsible for producing timely, accurate, and GAAP compliant financial results for all fiscal periods that properly reflect donor and not-donor restricted assets and net assets utilizing a fund accounting methodology.
• Lead and assist in preparing all supporting work papers and schedules for the VMFA Annual Financial audit and Agreed-Upon Procedures and liaise with the external auditors to plan and carryout the audit. In conjunction with external auditors, prepare all financial statements and notes.
• Oversee quarterly budget to actual, Statement of Financial Position, and Statement of Activities for the Board and Committee meetings (Executive, Investment, Budget and Compensation, Audit and Governance) as well as any internal or external requests.
• Oversee all accountings functions and develop and maintain financial accounting systems for cash management, accounts payable, contribution, purchasing, grants, payroll, and endowments.
• Lead all IRS and VA state tax required filings to include 990, 990T, 5500, VA550, UBIT, Sales and Use Tax, and any additional investment required tax forms.
Ensure that all funds transferred to the Museum have met any restrictions set by the donor or the Board.
• Oversee the preparation of and certify the Component Unit Report as required by the Commonwealth of Virginia.
• Manage the acquisition of capital assets and ensure that assets are properly recorded, amortized, and disposed of as appropriate.
• Prepare and ensure all debt covenants are met and made available to the bank.
• Participate in preparation of split interest and deferred gift agreements and oversee the recording and periodic distributions to donors and final closure of the agreements.                                                                                                                                                                                                      •Oversee calculation and preparation of payroll, 401K transactions, and profit share deposits including preparation of 401K census data for 5500 submission.                                                                                                                                                                                                                               •Oversee Foundation Human Resource needs including, onboarding, offboarding, open enrollment, and annual benefit vendor review for discussion and approval by management.

Endowment Accounting and Management:

• Manage all new investment subscription documents and any liquidation of investments as directed by the Investment Committee.
• Ensure all income is properly recorded and distributed to each endowment and provide detailed reporting on dollars spent from the endowment and temporary restricted projects and funds.
• Oversee preparation of annual ASC 820 disclosure, benchmark roll forward, and Limited partnership commitments for all investments.
• Work with the Office of Advancement in preparing the annual endowment stewardship reports.
• Implement the endowment investment policy as it relates to the Foundation staff responsibilities.
• Lead due diligence work required on money managers by liaising with money managers on a regular basis as well as the investment consultant.

Budgeting/Forecast and Variance Analyses Support:

• Lead formal financial forecasting process.
• Lead initiative to improve Foundation budget usefulness, understandability and relevance.
• Coordinate available funds with Museum Budget Manager on use of funds.
• Assist CFO and serve as backup in presenting budget to the Budget and Compensation Committee of the Board and internal staff.
• Manage cash flow and prepare cash flow forecasts for operating, art purchase, and investment transactions, ensuring appropriate available funds for spending.
• Research and provide variance analyses of actual versus budget/forecast/prior year.

Internal Controls/Policies and Procedures:

• Review and approve all purchase orders, invoices (including coding), payments, payroll, tax payments and returns.
• Review, improve, implement and enforce all areas of accounting policy, maintain internal controls, and manage fiduciary processes and procedures.

Management/Staff Development

• Supervise and develop staff.
• Establish priorities.
• Ensure staff is completing required functions and developing their technical and professional skills.
• Attend all Investment, Budget, Governance Committees and general Board meetings. Liaise with key stakeholders- Treasurer, Board of Directors or Committees as requested.
• Be recognized and established functional expert on all Foundation finance activities and GAAP accounting requirements.

Other Systems Support, Special Projects, Issue Resolution:

• Main contact for all banking, debt, and investment relationships, and cash transfer requests.
• Evaluate the need for new technology to meet the organization’s financial data processing, control, and reporting requirements.
• Serve as Post-issuance compliance officer for bonds.
• Provide leadership/management for a variety of ad hoc initiatives, including but not limited to financial systems improvements, process enhancements, accounting structures for paying museum expenses on their behalf, reconciliation diagnostics, and the like.
• Projects as assigned by CFO.

Minimum Qualifications:

• College degree in business/accounting finance or related field.
• MBA, CPA, or CGFM designation preferred.
• Five (5) or more years in a supervisory position in a not-for-profit accounting environment.
• Knowledge of investment accounting in a foundation with large pooled endowment assets.
• Ability to manage and coach other employees
• Ability to communicate effectively, both orally and in writing
• Ability in forecasting, supervision, dealing with complex organizational setup, managing processes, reporting research results, and decision making
• Significant experience preparing for external financial audit of a not-for- profit
